PRACTICAL RENTAL GUIDE

What documents should you prepare for a rental application?

Found a home that fits? A clear overview of your circumstances can help you respond with purpose. Start with the requirements in the listing, rather than sending every document you have to every recipient.

Example checklist: request first, then prepare

These are examples of document categories mentioned by Rijksoverheid and rental provider Vesteda. They are not a universal submission requirement. Prepare only what applies to you and what the actual provider requests.

Documents by applicant situation
SituationExamples if requestedCheck
EmploymentRecent payslips, an employer statement and possibly an annual income statement.Ask which period and file format are needed.
Self-employmentA Chamber of Commerce extract, annual accounts or an income tax return. The requested years and assessment differ between providers.
Pension or other incomeA pension or benefit statement if relevant to your circumstances.Use only the category that applies to you.
StudentA DUO student-finance overview when requested.Ask how your circumstances are assessed; do not invent income.
Adults moving with youIncome information for a partner or another adult applicant if requested.Agree who will provide their own information.
Identity and additional checksA provider may request an identity check or specific supporting evidence.Check the recipient, purpose and secure channel before sharing.

Start with this home’s requirements

Read the monthly rent, proposed start date and conditions in the listing. Write down what the provider actually requests. The information needed can vary between homes and applicants. A general checklist does not mean you should send every item immediately.

Prepare an overview, not a public document folder

Make a private note of who would live in the home, when you would like to move and how you can explain your circumstances briefly. Whether you work, study or have another situation, collect only relevant information that has actually been requested. Check that names and dates in your files are readable and current.

Separate introductions from supporting documents

A clear introduction and contact details can be a useful starting point for an initial response. Do not paste identity documents, bank details or complete income records into a public text field. The GigantWonen tenant profile helps you prepare your introduction; it is not a request to paste sensitive supporting documents there.

Check the recipient before sharing

If anything is unclear, ask who will receive the information, why it is needed and which channel to use. Independently check the contact details before sharing sensitive files. Keep the answer with that application so you can find the agreed next step later.

Keep a short private checklist

Track the requested document, the date of your version, who you shared it with and anything still missing. Use recognisable filenames without additional personal numbers. Share what is needed for that application instead of sending your entire folder each time.

After your response

Keep the listing link and your message so that later questions have context. Preparation does not guarantee a viewing or tenancy. If a home becomes unavailable, adjust your search profile or continue searching without automatically forwarding old documents to new recipients.
